Getting a wedding budget started is one thing. Keeping it accurate after you book vendors is another. A useful wedding expense tracker answers three questions at any moment: what do we expect to spend, what have we committed to spend, and what is still unpaid?
Track five numbers for every vendor
For each vendor, record the current estimate, signed contract amount, payments already made, remaining balance, and next payment due date. Add a notes column for taxes, service charges, gratuity, overtime, and any items the quote excludes.
Be consistent: a $5,000 quote before fees and a $5,000 all-in package are not the same price. Keep estimates separate from signed commitments until you've confirmed the terms.
A simple wedding expense example
Imagine a catering quote of $6,000. The vendor also quotes $480 in tax and $1,200 in service charges, and you pay a $2,000 deposit. Your budget tracker should show the following:

That $5,680 is not extra spending on top of the $7,680. It's the unpaid part of the same commitment. Double-counting deposits and final balances is a common source of misleading budget totals.
Build a weekly wedding budget review
- Update new quotes: list unbooked vendors separately from signed contracts.
- Record every payment: note the date, amount, and vendor, and keep your receipt.
- Confirm upcoming balances: especially payments due in the next 30–60 days.
- Check fees and changes: ask whether the latest amount includes taxes, gratuity, delivery, and add-ons.
- Review the remaining budget: compare total expected costs with the amount you agreed you can spend.
